A useful record preserves evidence; it does not decide whether a particular use is lawful.

Save five things with each purchase

  1. The shop or designer name.
  2. The order number and purchase date.
  3. The original product-page address.
  4. The receipt or order confirmation.
  5. The licence document or terms supplied with the purchase.

Capture terms at purchase time

Marketplace listings and seller policies can change. Save the licence document supplied with the order or a dated copy of the terms that applied. Keep it inside the same bundle folder rather than in a separate folder called “licences” with no obvious connection to the design.

Record facts, not conclusions

Useful software can preserve the shop, receipt, document, and notes you provide. It cannot guarantee that every proposed product or use is lawful. When the terms are unclear or the stakes are meaningful, ask the seller or a qualified professional.

“Commercial use” is not one universal permission.

Terms may differ for physical products, print-on-demand services, digital resale, logos, fonts, or production quantities. Read the terms attached to that specific purchase.

Review missing records in small batches

Do not attempt to reconstruct a 10,000-file collection in one weekend. Start with designs you actively sell or plan to use next, then capture details as new purchases arrive.
